Service Coodinator

Department: Special Systems
Location: Rancho Cucamonga , CA

Job Purpose:

The Service Coordinator reports directly to the Special Systems Practice Manager. The Service Coordinator is responsible for planning, executing, and delivering projects according to strict deadlines and within budget often under supervision. The Service Coordinator will generally be paired with a Senior Project Manager on projects but may also be assigned as the primary PM on small projects. The role includes requesting resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan. For assigned project(s), the Service Coordinator will interact with the customer and will inspire customer confidence in NIC Partners ability to satisfy their goals.

Essential Job Functions:

  • Takes project ownership of small-medium sized projects to confidently direct and manage them from beginning to end. Fully support Senior Project Management with assigned project tasks on larger projects. Projects involve IT Technologies (networking, voice/data wiring, MDF/IDF) and the like. This is not a software PM position.
  • Understands and supports project scope, goals and deliverables that support business goals in collaboration with senior project management and stakeholders.
  • Works with Project Management to develop and communicate small to moderately sized project plans, which may incorporate vendor and sub-contractor milestones where applicable.
  • Proactively works with Project Accounting to ensure timely project procurement, billing, and project cost vs. revenue tracking. Obtains understanding and manages the project finances to meet defined targets.
  • Develops and delivers professional and accurate progress reports and project documentation for the assigned work. This may include, but not limited to, daily or weekly reports, project calendars, tasks lists, site equipment lists and instructions for field personnel.
  • Proactively manages and communicates changes in project scope/schedule/cost as soon as it is identified.
  • Estimates the resources and participants needed to achieve project goals. Collaborate with Resource Managers for the acquisition of required personnel from within the company.
  • Oversees and coordinates the work of field personnel to ensure on-time, quality delivery.
  • Communicates expectations to project team members and contractors. If applicable, escalate work deficiencies to Resource Management and Senior Project Management.
  • Supports operational efforts to ensure accuracy and thoroughness of all project related testing, certification, warranty submittals, drawings, as builds and deliverables as specified by the Project and Department Managers. 

 

Responsibilities/Duties

  • Reacts to customer changes, shifting priorities, project adjustments and alterations professionally, promptly and efficiently.
  • Adheres to all company policies, procedures, standards and safety rules.
  • Performs other tasks or projects as assigned by manager
  • Must be available to work Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • May be required to work additional hours and/or weekends, as needed, to meet deadlines or to fulfill travel obligations

Experience/Education:

  • Bachelor’s Degree (B.A.) from four-year college or university preferably in the technology field (IT, engineering or project management)
  • At least 5 years’ experience and/or job-related experience
  • Equivalent combination of education/job experience

Knowledge/Skills/Abilities:

General: Ability to multi-task, prioritize, organize, solve problems, and complete tasks independently or in a team-oriented environment; ability to follow verbal and written instructions, to maintain the confidentiality of data and to accept constructive criticism.

Technical: Excellent understanding of internet technologies, PC and standard Office software and hardware. Comfortable with virtual technologies such as group voice conferencing, web conferencing (e.g. WebEx) and the like.

Personal: Strong written, oral, and interpersonal communication skills; ability to present ideas in business-friendly and user-friendly language; ability to effectively prioritize and execute tasks in a high-pressure environment, both personally and delegated through staff.

Communication: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to speak effectively one-on-one or before groups of customers or employees of the organization, and respond to questions.

Reasoning: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Mathematical: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Computer: Ability to proficiently use computer software programs and related computer applications, Outlook, Excel, Visio and other Microsoft Office applications and other industry-specific technology tools, such as Microsoft Project or similar used within the organization. Willingness to learn additional software applications.

Physical and Environmental Elements:

Physical demands: Ability to sit continuously for over 2/3 of normal work shift. Ability to stand, walk, and reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl on a regular basis. Ability to talk and to hear continuously. Ability to lift up to 10 pounds occasionally. Finger dexterity is required frequently for over 2/3 of the normal work shift.

Vision: Ability to see at close range (20 inches or less), at a distance (clear vision at 20 feet or more), ability to identify and distinguish colors, ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point, three-dimensional vision, ability to judge distances and spatial relationships, and ability to adjust the eye to bring an object into sharp focus.

Work Environment: Employees work in an office environment. Noise levels are moderate (such as computers and printers) and temperature conditions are usually controlled.

Travel: Some local travel by car may be required to customer sites in Southern California.

Special Requirements:

  • Possesses strong customer service skills. Inspires confidence in our customers that NIC Partners is the right company to do business with.
  • Direct work experience in a project lead or technical lead capacity, including some project development, deployment and execution. Must have understanding of project management principles (managing) as well as a life cycle methodology (process to do the work).
  • Must have previous hands-on or project delivery experience in network technologies including routing / switching, voice / data wiring, connectivity to MDF/IDF and the like.
  • Basic understanding of project cost and margins.
  • Experience working for or with the following industries is a plus: Education K-12, Construction or Healthcare with a focus on IT hardware technologies in these industries.
  • Ability to be persuasive, tactful, encouraging and motivating.
  • Ability to elicit cooperation and defuse tension among team members and stakeholders, should it arise, and to remain calm and professional under pressure.
